RM Konferenz 2012 und Marktstudie RM Schweiz

Die 5. Records Management Konferenz wird wieder in Zürich im Technopark stattfinden (Mitte März). Resservieren sie schon den Termin.
Im Hinblick darauf führen Sieber & Partner bereits den 2. RM Survey Schweiz durch. Die Ergebnisse werden dann präsentiert.

Sharepoint sites are sprawling and governance is needed

An article in the CIO update makes clear:
"The key to managing SharePoint team sites, as with all electronic information, is the disposition (e.g., deletion) of information once it no longer has business value and is not subject to a litigation hold or regulatory retention requirement."

Exactly this phenomena was predicted 3 years ago by AIIM in an article entitled: Put a stop at the Sharepoint sprawl (sic!)

But techies did not listen to the content managers.

Autonomy Records Manager gets DoD 5015.02 certification

Autonomy has received the formal certification for its RM solution which originally has its roots in Filesurf (MDY) acquired by CA and then bought by Autonomy. Will be interesting to see how this move is going to be integrated in the Autonomy family.

GEVER VADEMECUM

GEVER Vademecum
Die Bundeskanzlei hat ein handliches Vademecum zur GEVER-Terminologie herausgegeben. Unter dem Titel „Verstehen Sie GEVER?“ werden die wichtigsten Begriffe zur Geschäftsverwaltung bzw. zum Records Management in der Bundesverwaltung in vier Sprachen erläutert. Die kleinformatige Broschüre unterstützt die Akteure in der Verwaltung ergänzend zur digitalen Version in der Terminologie-Datenbank Termdat:

Im Vorwort wird auf die Relevanz von Fachtermini hingewiesen. Eine gemeinsame Sprache fördert das gemeinsame Verständnis im Kontext der Aktenverwaltung (Records Mgmt) und hilft bei der Verständigung zwischen IT und Business. Besondere Anerkennung verdient der Umstand, dass neben den selbstverständlichen Amtssprachen auch das Englische berücksichtigt wurde, da einige Fachtermini im Angelsächsischen ihren Ursprung haben. Das Glossar enthält 50 Fachbegriffe. Dieses Set enthält sicher die wichtigsten Begriffe, wobei manchmal das Sprachäquivalent schwierig zu eruieren ist. Zum Beispiel findet man im englischen Index weder den Begriff „custodian“ noch denjenigen des „record owners“ oder „record holders“, was natürlich der deutschen Federführung entspricht („leading organisational unit“); darauf muss man aber erst mal kommen. Nützlich ist auch der alphabetische Index im Anhang, der einen raschen Überblick in allen vier Sprachen (de, fr, it, en) bietet.
Das Beispiel kann durchaus anregen, für den innerbetrieblichen Gebrauch ein ähnliches Vademecum für die eigene Firma zu erstellen, zwecks Unterstützung des internen Records Managements oder Archivmarketings.

Generic records mgmt taxonomies (IF4IT)

The International Foundation for Information Technology (IF4IT) has recently published two linear Taxonomies that are intended to assist Records Management (RM) professionals with the identification and classification of RM related data, information, and knowledge. They include a Taxonomy of Records Management Types (or sub-types to some) and a Taxonomy of Record Types that have been derived and created from a controlled master Information Technology vocabulary which is defined and maintained by the IF4IT.

Examples of use for such Taxonomies include but are not limited to the following:
1. RM organizations can use the Taxonomies as frameworks to help identify what types RM work need to be performed and managed as well as to help identify the different types of records categories and artifacts that are important to them and their enterprises.
2. Audit and Compliance organizations can use the Taxonomies as frameworks for understanding different Records Domains, as well as for identifying key points of audit and artifacts within such domains.
3. IT organizations can use the Taxonomies to help define, plan for, structure, deliver and support IT related work that addresses the various RM categorizations, their records types, and their correlating artifacts for any RM related organizations they help enable.
4. Litigation departments can use the inventory of as a framework to understand what, specifically, to ask for or deliver, when subpoena-ing or being subpoena-ed by entities during legal cases.
The IF4IT's goal is to supplement data, information and knowledge related professionals, especially those in IT and those who cannot afford the services of expensive consulting and research organizations, with controlled vocabularies, constructs, frameworks, and learning material that will help them be as successful as possible. The release of these Taxonomies is part of a series of steps by the Foundation to do so.

Please note that the IF4IT offers such material as supplemental options to help enable professionals. The Foundation always urges you to be well informed by exploring all available option. All Foundation content is open to the public and subject to the terms of use that are listed on its site, which state, in short, that users are free to leverage the material for themselves and their enterprises but not profit from it in any manner.
