While not exactly open source (OK not even close), I have been doing
testing the EDMS functionality in Microsoft SharePoint. It creates a
centralized library/repository that has workflow routing, versioning
control, forms managements and collection, the ability to assign
retention schedules to classes of documents or levels of users (just as
executives), as well as requiring user specified metadata. There is
also the ability to programmatically automated some of the functionality
(such as everything executive cannot be deleted, or auto delete or send
for review at end of retention).
Best of all it fully integrates into Office2007 with its XML based
documents. If you are on a Microsoft Office platform this helps
automated the RM requirements for the users without having to go into
another application. And it is integrated into Exchange, meaning native
email management/archiving as well!
Overall I have been very pleased with the results with this very low
cost, flexible implementation. There is a learning curve, but you have
that with any new software you introduce. I think Microsoft has done a
good job finally understanding management of information, not just
producing the information - and they have commoditized EDMS
functionality. If I was one of the current EDMS vendors, I would be
VERY worried about this.
